Graphic Designer Invoice Template

A free, editable invoice template built for freelance graphic designers — with the line items and billing conventions your clients expect. Load the example, make it yours, download the PDF.

Design invoices carry something most invoices don't: intellectual property. What the client may do with the artwork — and for how long — is a billable dimension of its own, and it belongs on the invoice as an explicit line, not in a forgotten email thread.

The second thing a design invoice must survive is the revision conversation. If your invoice line says 'Logo design' but your quote said '3 concepts, 2 revision rounds', the invoice should repeat the scope — it's the paper trail that makes round four billable.

What goes on a graphic designer's invoice

Designers usually bill identity and branding work as fixed-price packages (deposit upfront, balance on delivery of final files), with usage licensing broken out separately where the work will run in paid media. Hourly lines appear only for out-of-scope revisions — priced and labelled as such.

The mistake graphic designers most often make on invoices

Giving away the licence: bundling unlimited usage into the design fee. A logo is genuinely unlimited, but campaign artwork isn't — national paid-media usage is worth multiples of a local flyer. Designers who itemise usage rights on the invoice earn more from the same labour.

Not sure your underlying rate is right? Run the numbers in the freelance graphic designer rate calculator — typical rates for graphic designers run $35–$100/hour. And if an invoice goes quiet, use our late-payment email templates to chase it politely.
